TITLE: Administrative Assistant - Receptionist
PAY GRADE: Classified Salary Schedule
FLSA: Non-Exempt
SUPERVISOR: Finance Manager
TERMS OF EMPLOYMENT: Work days will coincide with the start and end of the Fiscal Year (July 1 - June 30), with days off as designated by the Board approved School Calendar and Policy 409.40. Works on-site according to building and Supervisor's designated schedule.

The Administrative Assistant provides assistance and high-level support to the Finance Manager, administrative team and Superintendent performing a variety of secretarial, technical, and administrative support functions to assure the effective and efficient operation of the district.

High school degree or equivalent required or minimum of a two-year degree in clerical/office management preferred. Three years of experience performing at a high level, the duties and responsibilities associated with this position. Must possess strong organizational, problem solving, and computer application skills along with attention to detail and flexibility. Spanish language skills or bilingual/biliterate preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES: (This list of essential duties is not a comprehensive listing of all functions and tasks performed by positions in this class.   • Answers seventeen (17) busy phone lines efficiently and pleasantly.
  • Maintain a positive attitude and style that contributes to the overall public relations of the district.
  • Provides timely support to staff for tasks including but not limited to: coordination of schedules; meeting supports; resource assembly; development and/or photocopying records and other documents; management or paperwork, preparation of packets/presentations; correspondence/mailings for groups, parents, educators and community partners; technology troubleshooting; and coordination of district wide scheduled functions and activities.
  • Demonstrates excellent communication, listening, personal presentation and problem solving skills.
  • Maintains accurate records and the office record keeping system for district correspondence and records.
  • Maintains confidentiality of student and staff information and confidential records.
  • Maintains office supplies by monitoring inventory and ordering items appropriately.
  • Coordinates incoming and outgoing mail.
  • Greets, directs, announces, or escorts all visitors in a helpful and pleasant manner; anticipates visitors' needs; answers questions and attends to district issues as they arise.
  • Takes clear and accurate messages.
  • Responds to inquiries and relays information to the staff and public in a positive and proficient manner.
  • Performs data entry and clerical duties.
  • Assumes responsibility for maintenance of all office machines; i.e. fax, copiers, computer, calculators, postage machine, etc.
  • Reviews & processes Accounts Payable invoices.
  • Maintains vendor files including vendor inquiries.
  • Maintains and performs Purchase Order processing.
  • Monitors and files reports for the Driver Education Program.
  • Invoicing monthly and quarterly billings
  • Reviews, prepares and invoices pre-school tuition to families that do not qualify for free or reduced tuition.
  • Prepares annual districtwide paper order.
  • Assist the food service department daily in answering questions, accepting payments and proofing free and reduced applications.
  • Performs annual fire drill.
  • Manages and reconciles time sheets and skyward time off entries.
  • Assist HR in the finger printing process and verbal verifications of employment.
  • Process and maintain FedEx & UPS mailings, issue Verification of Compliances, Attainment of Notary Public commission and renewal process for staff.
  • Performs other duties as directed by the Finance Manager

    Ability to communicate clearly and concisely, both orally and in writing. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to effectively communicate in one-on-one and small group situations to parents, students, and other employees of the District. Ability to add, subtract, multiply, and divide in all units of measure. Ability to solve practical problems and deal with a variety of concrete variables. Ability to interpret and implement a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work in a friendly manner and to develop effective working relationships with students, staff and the school community. Ability to perform duties with awareness of all District requirements, Board of Education policies, and applicable State and Federal laws.

    The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some climbing and balancing; frequent stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 35% sitting, 30% walking, and 35% standing. While most duties are performed indoors, the employee may be required to perform duties outdoors in various types of weather, including inclement weather with temperatures at or below freezing for extended periods of time. The noise level in the work environment is usually moderate to loud. The employee frequently interacts with students and staff.
